ATG Minutes of Board Meeting - April 2010

ALBUQUERQUE THEATRE GUILD
Minutes of the Board of Directors Meeting

Explora Theatre
April 10, 2010
Approved by the Board May 1, 2010

Present at the meeting:  Georgia Athearn, Eli Browning, Kristen Loree, Virginia Ludvik, Claudia Mathes, Linda Lopez McAlister, Preston Mendenhall, Joel Miller, and Val Scott.
Excused:  Daniel Garcia and Hugh Witemeyer.

Call to order.  Vice President Preston Mendenhall called the meeting to order at 10:05 a.m. and thanked the Explora for providing us with meeting space, refreshments and information about their programs.

Approval of minutes of March 6 Board meeting.  It was moved (Loree), seconded (Miller), and passed that the minutes of the March, 2010 meeting be approved with minor amendments.  They’ll be posted to the ATG Website.

Treasurer’s Report.  Treasurer Claudia Mathes distributed new financial reports using a more sophisticated version of Quicken.  As of today ATG has Current Assets in checking and savings of $27,738.79; this includes our recent $8,000 grant from the McCune Foundation.  She is continuing efforts to get a credit card rather than a debit card for ATG.  We may need someone to guarantee the card.

Scheduling of May Board Meeting and May General Meeting.  The next Board meeting will be held May 1, 2010, at Working Classroom.  The time and place of the May Annual Meeting have not yet been determined.

Reports of Committees, Circles, and Task Forces

  • Task Force for City of Albuquerque safety inspections.  The third Task Force Meeting was held on Saturday, March 20 at ALT and was attended by: Hugh Witemeyer, John Van der Meer, Dave Roglich, Colby Landers, Lt. Skip Navarrette, Josh Bien, architect Mark Weaver, and City Electrical Dept. representative Tony Medley.  Hugh Witemeyer has distributed a summary of the meeting.  The major thrust of the discussion was that work is continuing on a general information piece that will give member theatres the information they need (rather than a specific checklist) and that efforts to develop various educational components will continue.

  • Unity Committee.  Virginia Ludvik and Claudia Mathes reported that they have been unable to find an appropriate public venue for the annual social event that was going to be in May or June and are now looking to schedule the event in early August.  The General Auditions will be in June at N4th and Claudia is meeting on Tuesday with John Davis to discuss.  They are still hoping to do workshops for individual members such as a make-up workshop, one on audition techniques.  Virginia has updated the prop sharing document.

  • ATG Strategic Objectives.  Virginia Ludvik led a discussion of where we are on the Board’s Strategic Objectives projects.  First we focused on our upcoming meetings with the member theatres’ board or operational officers.  The draft script for the visits was reviewed and discussed and assignments were made for which Board members would accompany the primary contact person to each of these meetings, with the goal of having one theatre representative and one individual member representative on each team.  Then the chairs of various projects reported on where they are regarding their assigned tasks.

  • Web Committee.  Joel Miller had nothing to report on the update to the website but hopes to convene a meeting of the Web Committee shortly.

  • Buzz Committee.  Linda Lopez McAlister had sent a written report of the Buzz Committee’s activities.  The Committee meet on April 3 and is working on evaluating possible routes for publishing the next ATG brochure. Facebook page is doing well with now over 900 Fans.  The Committee is working on getting Albuquerque’s theatre scene listed on the regional theatre page of the website http://www.talkinbroadway.com , and will solicit a team of possible qualified theatre reviewers that would guarantee to write a minimum of three reviews per month for the site.  If that is accomplished and Albuquerque is added, they will also publish the season calendars for all our theatres on the website and link to the ATG website.

  • Playwrights and Directors Circles.  No one was present to report on the Playwright’s Circle but Linda Lopez McAlister spoke about the joint Playwrights Circle/Directors Circle session featuring new play dramaturg Lenny Berkman that was held in March.  She is seeking a volunteer or volunteers to head up the Directors Circle so we can build on the information gathered from the survey and start scheduling regular meetings.

  • Actors Circle.  Georgia Athearn reported that there has been no activity with the Actors Circle but that she wants to work together with the Unity Committee on workshops for actors.

  • Tennessee Williams Festival.  Preston Mendenahall gave information on the Tennessee Williams Festival project. He expressed the intention to have a meeting with folks who are interested and will send a communication out to every organization.

New Business.  Eli Browning suggested the idea of forming a Tech Circle.  Such a group might possibly emerge from the Task Force on Safety Inspections on which a number of key technicians are currently serving.  The consensus is that it would need to emerge from the members themselves rather than be started top down.

Adjournment.  It was moved (Browning), seconded (McAlister), and passed that the meeting be adjourned 12:00 p.m.

Respectfully submitted
Linda Lopez McAlister, Secretary
